Who should be creating vendor registrations for major companies in Ariba or Coupa?

Alibi Accounting Department is responsible for all vendor registrations for clients.

Major companies, particularly those with a global presence, have increasingly complex requirements for registration and ingesting new vendors. Many companies subscribe to collaborative software such as Ariba and Coupa. This software is oriented to the financial transactions of the companies, both to keep track of their vendors and to manage payment policies. Some of the larger international companies request detailed data on the company, its officers and its other interests. With many of these systems, a vendor who is already in the system can short cut the registration. With each of the systems it is crucial that Alibi only have one set of information to share with the various vendors.

 

Alibi's Policy is that all vendor registration must be completed by the ACCOUNTING DEPARTMENT which will maintain these registration. It is essential that only accounting access these programs. Failure to properly maintain these registrations can result in lengthy delays in obtaining purchase orders or authorizing payment to Alibi.

 

NOTE: The sales or marketing staff that initiates contact or maintains relationship with the company remains responsible for creating Alibi's HubSpot record relating to the client. THIS IS THE MARKETING AND DEAL RECORD FOR ALIBI.  The registration with the client's system is a purchase order and payment system that MUST be handled by Accounting.
